Concerns room reservations for selected dates at the Hockenheimring, major concerts and racing events. We would like to point out that you are responsible for any rebookings due to changes in dates and ask you to inform us immediately if you would like us to change your reservation. However, we cannot guarantee that we will have the necessary capacity available on the new date requested.

Scope of application
1. the terms and conditions apply to contracts for the rental of conference, banquet and event rooms of the SeeHotel for the organization of events such as banquets, seminars, conferences, etc. as well as for all other related services and deliveries of the hotel.
2. the subletting or re-letting of the rooms, areas or showcases provided as well as invitations to job interviews, sales or similar events require the prior written consent of the SeeHotel.
3. the organizer’s terms and conditions shall only apply if this has been expressly agreed in writing.
Conclusion of contract, partners, liability
1. the contract is concluded by the acceptance of the application (confirmation) of the SeeHotel to the organizer, these are the contracting parties.
2. if the guest/orderer is not the organizer himself or if a commercial agent or organizer is engaged by the organizer, the latter shall be jointly and severally liable with the organizer for all obligations arising from the contract.
3. the SeeHotel is liable for its obligations under the contract. This liability is limited to deficiencies in performance that are attributable to intent or gross negligence on the part of the hotel, except in the area of typical performance. In addition, the organizer is obliged to inform the SeeHotel in good time of the possibility of the occurrence of exceptionally high damages.
Data storage/data protection
The customer’s personal data required for order processing is stored. The customer hereby expressly declares his consent. All personal data will of course be treated confidentially.
Services, prices, payment, offsetting
1. the SeeHotel is obliged to provide the services ordered by the organizer and promised by the hotel.
2. the organizer is obliged to pay the SeeHotel’s agreed prices for these services. This also applies to services and expenses to third parties in connection with the event. Fees payable to third parties for the event, such as GEMA fees, entertainment tax, etc., must be paid by the contractual partner to the creditor without delay.
3. the organizer is liable for all orders of his guests within the scope of the agreement.
4 The agreed prices include the respective statutory value added tax. If the VAT included in the prices increases due to statutory provisions, the hotel is entitled to adjust the agreed prices accordingly without the guest’s separate prior consent. The prices are neither commissionable nor commissionable, unless expressly agreed.
5. invoices of the SeeHotel are due and payable without deduction within 8 days of the invoice date. In the event of late payment, the hotel is entitled to charge a reminder fee of € 5 and interest of 10 % of the revenue generated 30 days after the due date. After a further 30 days, the sales amount, including the already increased 10 %, increases by a further 10 %.
6. the SeeHotel is entitled to demand an appropriate advance payment at any time. The amount of the advance payment and the payment dates can be agreed in writing in the contract.
7. commission compensation shall be charged on out-of-pocket expenses and the corresponding VAT shall be charged on third-party services. If invoicing is agreed, a guaranteed assumption of costs for the hotel’s listed services must be provided in advance. Payments are always due immediately.
8 EC cash cards, cash payment and bank transfer are accepted. In exceptional cases and only with the prior consent of the SeeHotel credit cards up to the respective amount of cover. A 3% surcharge will be charged for payment by credit card. The hotel is entitled to refuse foreign currency and other credit or cash cards.
Basis for calculating the conference services/organization
1. the basis for calculating the booked catering is the number of participants known to us 2 weeks before the event. If the originally requested number of participants deviates by more than 10%, the SeeHotel is entitled to redetermine the agreed prices and to change the confirmed rooms, unless this is unreasonable for the organizer.
2. if table reservations are not taken, we will charge the agreed menu price according to the full number of participants – in the case of an a la carte reservation, the expected minimum turnover of € 75 per guest.
3. if the agreed start or end times of the event are postponed without the prior written consent of the SeeHotel, the hotel may charge additional costs for the readiness to provide services, unless the hotel is at fault.
Technical equipment and connections
1. insofar as the SeeHotel procures technical and other equipment from third parties for the organizer at the organizer’s instigation, it acts in the name, on behalf of and for the account of the organizer. The organizer is liable for the careful handling and proper return of the equipment. He shall indemnify the hotel against all third-party claims arising from the provision of these facilities.
2. the use of the organizer’s own electrical equipment using the hotel’s electricity network requires the hotel’s written consent. Any malfunctions or damage to the hotel’s technical equipment caused by the use of these devices shall be borne by the organizer, unless the hotel is responsible for them. The hotel may record and charge a flat rate for the electricity costs incurred through use.
3. with the consent of the hotel, the organizer is entitled to use its own telephone, fax and data transmission equipment. The hotel may charge a connection fee for this.
4. if suitable hotel equipment remains unused due to the connection of the organizer’s own equipment, a cancellation fee may be charged.
5. faults in technical or other equipment provided by the SeeHotel will be rectified immediately if possible. Payments may not be withheld or reduced insofar as the hotel is not responsible for this disruption.
Loss of or damage to items brought along
1. exhibits or other items, including personal items, are kept in the event rooms of the SeeHotel at the risk of the organizer. The hotel accepts no liability for loss, destruction or damage, except in cases of gross negligence or intent on the part of the hotel.
2. any decoration material brought along must comply with fire regulations. The hotel is entitled to demand official proof of this. Due to possible damage, the installation and attachment of objects must be agreed with the hotel in advance.
3. any exhibits or other items brought onto the premises must be removed immediately after the end of the event. If the organizer fails to do so, the SeeHotel may remove and store the items at the organizer’s expense. If the items remain in the function room, the SeeHotel may charge a room rental fee for the duration of their retention. The organizer reserves the right to provide evidence of lower damages, the hotel of higher damages.
Liability of the organizer for damages
1. the organizer is liable for all damage to the buildings or inventory caused by event participants or visitors, employees, other third parties from his area or himself.
2. the SeeHotel may require the organizer to provide appropriate security (e.g. insurance, deposits, guarantees).
Miscellaneous
1. the Seehotel cannot guarantee that no other events from companies of the same industry will be held at the hotel
2. loud team-building activities are only possible in the conference rooms by prior arrangement. Out of consideration for the hotel guests present, the volume must be significantly reduced from 11 p.m. and the doors and windows of the event rooms must be kept closed.
3. the organizer may not bring food and drinks to events. Exceptions require a written agreement with the conference department. In these cases, a contribution is charged to cover overhead costs.
Resignation of the SeeHotel Ketsch
1. if the advance payment is not made even after a reasonable grace period set by the SeeHotel with a threat of refusal has expired, the hotel is entitled to withdraw from the contract.
2. furthermore, the SeeHotel is entitled to withdraw from the contract for objectively justified reasons, for example if:
a) force majeure or other circumstances for which the SeeHotel is not responsible make it impossible to fulfill the contract;
b) events are booked under misleading or false statements of material facts, e.g. the organizer or purpose;
c) the SeeHotel has justified cause to believe that the event may jeopardize the smooth operation, safety or public reputation of the hotel, without this being attributable to the hotel’s sphere of control or organization.
d) there is a violation of the above scope of paragraph 2.
3. newspaper advertisements and other measures or publications, in particular invitations to job interviews, political events and sales events relating to the SeeHotel, require the prior written consent of the hotel.
4. the SeeHotel must inform the organizer immediately of the exercise of the right of withdrawal.
5. the organizer has no claim for damages against the hotel, except in the case of intentional or grossly negligent conduct on the part of the SeeHotel.
Cancellation by the organizer (cancellation): Cancellation or reduction must always be made in writing.
Should the organizer be forced to cancel the event, this is
a.) Up to 8 weeks before the date of the event free of charge
b.) Up to 6 weeks before the date of the event, we charge the minimum loss of the gross room rental and 30% of the booked conference packages and the additionally agreed F&B services
c.) Up to 4 weeks before the date of the event, we charge the minimum loss of the gross room rental and 50% of the booked conference packages and the additionally agreed F&B services
d.) Up to 2 weeks before the date of the event, we charge the minimum loss of the gross room rental and 80% of the booked conference packages and the additionally agreed F&B services
e.) 7 days or less before the event date, we charge the minimum loss of the gross room rental and 95% of the booked conference packages and the additionally agreed F&B services
Hotel room group reservations/events
a.) Cancellation is free of charge up to 8 weeks before arrival
b.) Up to 6 weeks before arrival we charge 30 % of the agreed room price,
c.) Up to 4 weeks before arrival we charge 50% of the agreed room price,
d.) From 4 weeks before arrival we charge 80 % of the agreed room price,
…if we cannot rent the hotel room to someone else.
For call-off quotas and bookings on a self-pay basis
If we do not receive any or incomplete information from the overnight guest, we will charge the contractual partner for any cancellation or no-show fees incurred.
If a seminar participant fails to pay for chargeable services, e.g. minibar, telephone, etc., these will be charged to the respective organizer.
Final provisions
1. amendments or additions to the contract, the acceptance of the application or these terms and conditions for events should be made in writing. Unilateral changes or additions by the organizer are invalid.
2. place of performance and payment is the registered office of the SeeHotel.
3. the exclusive place of jurisdiction – also for disputes concerning checks and bills of exchange – in commercial transactions is the registered office of the SeeHotel. If a contractual partner fulfills the requirements of §38 paragraph 1 ZPO and has no general place of jurisdiction in Germany, the place of jurisdiction shall be the registered office of the SeeHotel.
4 German law shall apply.
5 Should individual provisions of these General Terms and Conditions for Events be invalid or void, this shall not affect the validity of the remaining provisions. In all other respects, the statutory provisions apply.
Status 2024
Special celebrations require individual and personal planning and also require special rules, which we have summarized below.
1. all business relationships with our customers in the context of wedding events are based exclusively on the “Festive Rules for Your Celebration” used by us and are always the subject of the specific individual contract concluded. These have been made known to our contractual partner at the latest upon receipt of the letter of confirmation (as an enclosure or printed on the reverse). Deviating “General Terms and Conditions” of the contractual partner shall not apply to us, even if we do not object to them.
2 The scope of validity includes the provision of the Salon event room for the realization of your event as well as all services and deliveries associated with this. The same applies to the provision of other rooms, wall and other areas as well as out-of-home events.
3. from a number of 50 adults, the SeeHotel does not charge any additional room rental for the function room. If this minimum number of persons is not reached, the SeeHotel may charge an additional room rental fee of € 1,000. The SeeHotel charges a set-up price for setting up and dismantling the event room from € 250. The time required for decorating the room, setting the tables with place cards, etc. will be charged as an additional service at € 40 per employee per hour or part thereof. A fee from € 200 is charged for the use of the outdoor area. Separate regulations apply to free wedding ceremonies at the SeeHotel, which must be agreed with the banqueting department.
4. subletting or re-letting of rooms and areas is not permitted.
5. the organizer/client shall be liable for loss of and damage to house inventory and other items caused by its employees, third parties commissioned by it, by itself and by its guests.
6. the installation of decorative material or other objects is not permitted without the hotel’s consent. All decoration material must comply with fire regulations.
7. the organizer/client is responsible for compliance with all relevant (regulatory) legal requirements. Fees payable to third parties for the event, such as GEMA fees, entertainment tax, etc., must be paid immediately by the organizer/client to the creditor.
8. the organizer/client must obtain all official permits at his own expense, unless expressly agreed otherwise in writing.
9. items brought in: The SeeHotel accepts no liability for loss or damage, to the extent permitted by law. If these are to be insured against risk, the organizer/client must procure the insurance.
10. it is not permitted to bring food and drink for consumption on site. Exceptions are possible in consultation with the SeeHotel and upon payment of the usual service costs and a corkage fee.
11. the SeeHotel accepts no liability for food that is brought into the hotel or left and consumed after the cold chain has been interrupted.
12. for events that extend beyond 00:00 on the day of the event, we charge € 195 per event room and per hour or part thereof from 00:00. Events are permitted until a maximum of 2:30 am. The volume must be adjusted if disturbances occur.
Formation of the contract
13. clients who are not also the organizer shall be jointly and severally liable with the organizer for the fulfilment of all agreements.
14. offers, prices and reservations of rooms and areas as well as the agreement of other services and deliveries, contract contents, including verbal ancillary agreements and contract conclusions, shall only become binding upon written confirmation issued to the contractual partner. The organizer/client is bound to his order offer for this period. The provision of rooms and space constitutes a tenancy.
15. the legally binding signature on the confirmation letter and the transfer of the processing fee of € 400 to our business account within eight days shall be deemed to constitute a binding booking for your event. The processing fee will be credited back to you once the final invoice has been issued. In the event of cancellation (outside the cancellation period), the processing fee is forfeited in favor of the hotel.
16. the customer has the right to provide evidence of lower damages in the event of a claim for liquidated damages.
Binding nature of the contract
17 The SeeHotel charges an advance payment for food sales up to eight weeks before the start of the event. The basis for invoicing is the number of persons agreed at that time and the agreed menu price.
18. the SeeHotel’s invoices are payable immediately upon receipt in cash or by bank transfer without deduction.
19 When a binding booking is made, the hotel will be informed of the planned number of persons. It is possible to reduce the number of participants free of charge up to a maximum of 10% of the original number up to eight weeks before the start of the event. A subsequent reduction in the number of persons is no longer taken into account. In this case, the basis for invoicing is the number of persons originally booked. If the number of participants is reduced by more than 10%, the hotel is entitled to increase the agreed prices appropriately and to exchange the confirmed rooms, unless this cannot be reasonably expected of the client/organizer. The prices can also be changed by the SeeHotel if the client/organizer subsequently requests changes to the number of guests, the hotel’s services or the duration of the event and the SeeHotel agrees to this. If a definable part of a booked event is not utilized, the SeeHotel may demand reasonable compensation for the part not utilized.
Withdrawal of the organizer
20 Cancellations are free of charge up to eight months before the event, except for processing fees. If canceled after this deadline, the SeeHotel will charge cancellation fees as follows:
Eight to six months before the start of the event 30%,
six to four months before the start of the event 50%,
four to two months before the start of the event 60%,
two months to 21 days before the start of the event 90 %,
If cancellation is notified in writing less than 21 days before the start of the event, the SeeHotel will charge 95% of the lost food and beverage sales. If the specific menu has not yet been determined, the SeeHotel will charge a menu price of € 75 per person, package price € 150 per person.
Hotel room
21 For a binding booking, a minimum purchase of ten hotel rooms in our new building is required. Our special prices for event guests apply to these, with the exception of trade fair and race dates.
Hotel rooms can only be canceled if the event is canceled. See point 20 “Withdrawal of the organizer”.
For reservations of up to 4 rooms, a cancellation free of charge is possible until 6 p.m. on the day before arrival.

Planning your wedding reception involves a lot of work and costs. Nevertheless, it can happen that your big party has to be canceled due to illness, for example. We recommend that you take out special event insurance. With this insurance, you can relax and make up for your celebration at another time.

The SeeHotel must inform the organizer immediately of the exercise of the right of withdrawal.
The organizer shall have no claim for damages against the SeeHotel, except in the case of intentional or grossly negligent conduct on the part of the SeeHotel.

23 Amendments or additions to the contract, the acceptance of the application or these “Fixed rules for your party” must be made in writing. Unilateral changes or additions by the organizer are invalid.
24 Our wedding reading includes gross prices. All information and prices are calculated without taking into account the current CORONA pandemic situation. If there are any changes and/or new assessments of the pandemic, we will discuss the offer with you again.
25 The place of performance and payment is the registered office of the SeeHotel.
26. the exclusive place of jurisdiction – also for disputes concerning checks and bills of exchange – in commercial transactions is the registered office of the SeeHotel. If a contractual partner fulfills the requirements of §38 paragraph 1 ZPO and has no general place of jurisdiction in Germany, the place of jurisdiction shall be the registered office of the SeeHotel.
27 German law shall apply.

30 Newspaper advertisements and notices containing invitations to events of any kind at the SeeHotel require written consent. If a publication is made without the consent of the SeeHotel and its interests are impaired as a result, it reserves the right to cancel the event. Any costs incurred, lost income and possible claims for damages shall be borne by the organizer/client.
31. deviating agreements or ancillary agreements must be set out in writing

If you do not notify us in good time in the event of a delay, we will take the liberty of releasing your table after 30 minutes.
